Billing SystemThe Problem: A large investment management firm was planning to migrate its affiliate firms onto the same platform as the corporate firm. One of the applications to be migrated was an internally developed billing system. Due to a restructuring of the IT team and staff turnover, there was little knowledge of how the existing system worked. The existing application had been updated about 18 months earlier when the client had acquired another investment firm. The update was done fairly quickly and resulted in a bifurcated system with functionality applying to either the legacy team or the acquired team. The client turned to Adeptyx to develop a plan to migrate the affiliates to the billing system, as well as to develop an understanding of the functionality of the existing system. In addition, Adeptyx needed to come up with a way to merge the needs of three distinct groups. What We Did: Adeptyx consultants worked with key team members at the affiliate locations to understand their account needs, billing practices and requirements. In addition, Adeptyx met with current billing system users to understand how they were using the system, any improvements they needed, as well as the differences in how they used the application. At the same time, Adeptyx analyzed the existing application and its data to understand current functionality and enhancement needs. Adeptyx consultants compiled a list of gaps between the current system and the needs of the affiliates. Adeptyx wrote requirements for new reports and enhanced functionality of the existing system to eliminate these gaps. Adeptyx designed enhancements to allow the functionality to be used by any of the three user groups. Adeptyx was able to identify new ways to use the existing system to meet the needs of the affiliates with minimal additional development work. These new methods not only fulfilled the requirements of the affiliates but allowed current users to reduce some of their manual workarounds. Finally, Adeptyx consultants analyzed historical billing data in Simcorp Dimension that needed to be migrated to the billing system, created a migration plan, and tested the data after completion of the migration. The Results: The migration of the first affiliate to the billing system went smoothly and without incident. The enhancements made to the existing application met the requirements of the affiliates and improved the usability for existing users. |
